Understanding the Volunteer Training & Certification Process
Some volunteer opportunities require additional screening or training before you can sign up. This guide explains what to expect when you encounter a qualification requirement.
Why Some Events Require Screening
Organizations may require pre-screening for roles that involve:
- Safety requirements – Working with vulnerable populations, operating equipment, or handling sensitive materials
- Skill verification – Ensuring volunteers have the necessary training or certifications
- Liability and insurance – Confirming you meet age, licensing, or insurance requirements
- Background checks – Some organizations require background verification
The Application Process
Step 1: Prescreening Form
When you try to sign up for an event that requires qualification, you’ll be asked to complete a prescreening form. This typically includes questions about:
- Your availability and commitment level
- Relevant experience or skills
- Required certifications (driver’s license, insurance, etc.)
- Physical requirements for the role
Step 2: Application Review
After submitting your prescreening form, one of two things will happen:
Self-Service Workflow: For some qualifications, you’ll automatically advance to any required training materials. Complete the training steps and you’re approved!
Coordinator Review: For others, a coordinator will review your application before you can proceed. You’ll see a message that your “Application has been submitted for review.”
Step 3: Coordinator Review (If Required)
When coordinator review is required:
- Your application goes to the organization’s volunteer coordinator
- They’ll review your responses and may contact you for additional information
- Once approved, you’ll be notified and can sign up for events requiring this qualification
How long does review take? This varies by organization. Most coordinators respond within a few business days, but it depends on their availability and the complexity of the screening process.
After You’re Approved
Once your qualification is complete (either through self-service training or coordinator approval):
- You can sign up for any events requiring this qualification
- Your certification may have an expiration date – you’ll be notified when it’s time to renew
- Some qualifications grant you special tags or badges visible to coordinators
Checking Your Status
You can always check your qualification status by returning to the event you were trying to sign up for. The system will show you:
- Training Required – You haven’t started the process yet
- Application Submitted – Waiting for coordinator review
- Training In Progress – You have steps to complete
- Qualification Complete – You’re approved and can sign up!
- Certification Expired – Time to renew your qualification
